Kind Consultancy is working with a well-established alternative Financial Services firm which is currently seeking a Workplace Experience Manager to join them in a full-time, permanent position based in their offices in the West Midlands.

The Workplace Experience Manager will create and maintain a safe, efficient, professional and engaging workplace environment that supports colleagues, customers and visitors, with key responsibilities:

  • Overseeing the day-to-day operation of the Bank's offices, ensuring a professional, welcoming and well-maintained environment for colleagues, customers and visitors.
  • Acting as the primary point of contact for workplace, facilities and office management queries.
  • Ensuring reception, visitor management and front-of-house arrangements provide an excellent experience for all visitors.
  • Coordinating visitor access, contractor sign-in processes and workplace security requirements.
  • Managing meeting rooms, collaboration spaces and communal areas, ensuring they are appropriately maintained, equipped and ready for use.
  • Coordinating room bookings and support the setup of Board meetings, Executive meetings, customer meetings and colleague events.
  • Managing office supplies, stationery, catering, refreshments and workplace consumables, ensuring stock levels are maintained and expenditure is controlled.
  • Supporting workplace requirements for new starters, movers and leavers, ensuring desks, equipment, passes and facilities arrangements are in place.
  • Coordinating workplace communications relating to building maintenance, health and safety, office updates and workplace initiatives.
  • Supporting the organisation of colleague engagement activities, wellbeing initiatives and internal events.
  • Leading the day-to-day management of facilities and workplace services across all Bank locations.
  • Ensuring office facilities are maintained to a high standard, providing a safe, secure and effective working environment.
  • Managing planned, preventative and reactive maintenance activities.
  • Leading the Bank's workplace health and safety framework.
  • Ensuring compliance with all relevant health and safety legislation, regulations and internal policies.
  • Maintaining health and safety records, risk assessments and safe systems of work.
  • Investigating accidents, incidents and near misses, ensuring corrective actions are implemented.
  • Supporting fire safety arrangements, emergency evacuations and business continuity planning.
  • Acting as the key point of contact for workplace health and safety matters.
  • Managing relationships with workplace, facilities, cleaning, maintenance, security and catering suppliers.
  • Monitoring supplier performance against service standards and contractual requirements.
  • Working closely with Risk and Technology teams to ensure physical security risks are identified and appropriately managed.

Our ideal candidate for the Workplace Experience Manager opportunity:

  • Has significant experience of workplace management, office management or facilities management work.
  • Has strong knowledge of UK health and safety legislation and best practice.
  • Has experience of managing contractors, suppliers and service delivery agreements.
  • Has experience of conducting workplace risk assessments and managing health and safety compliance.
  • Demonstrates strong stakeholder management and relationship-building skills.
  • Has excellent organisational and planning skills with the ability to manage multiple priorities.
  • Must be IOSH Managing Safely qualified
  • Holding a National General Certificate or equivalent Health & Safety qualification would be desirable.
